Payment & Cancellation Policy

Delta Tours Egypt believes that every traveler should understand how a booking is confirmed, when payments are due, and what happens if travel plans change. This Payment & Cancellation Policy applies to travel packages, private tours, group tours, Nile cruises, shore excursions, day tours, hotel arrangements, transportation, flights, tickets, and other services booked through Delta Tours Egypt.

By paying a deposit, making a full or partial payment, or asking us to confirm a booking, the lead traveler accepts this policy on behalf of every traveler included in the reservation.

This policy should be read together with our Terms & Conditions and the specific quotation, invoice, and booking confirmation issued for your trip. If your quotation or confirmation clearly states a different deposit, payment deadline, cancellation condition, or supplier rule, that specific written condition will apply to your booking.

1. When Is a Booking Confirmed?

A booking is confirmed only after:

  1. you approve the final itinerary, price, inclusions, exclusions, dates, and any special booking conditions;
  2. Delta Tours Egypt receives the required deposit or full payment in cleared funds; and
  3. we issue written confirmation by email, invoice, or an agreed official communication channel.

A quotation, itinerary proposal, payment request, telephone discussion, or verbal approval does not by itself reserve availability or guarantee a price. Hotels, Nile cruises, flights, guides, vehicles, tickets, and other services remain subject to availability until the required payment is received and confirmation is issued.

An automated payment receipt confirms that a transaction was submitted; it does not by itself confirm that every requested travel service is available. If a requested service becomes unavailable before confirmation, we will offer a suitable alternative or return the applicable payment for the unavailable service.

2. Deposit Requirements

Unless the written quotation states otherwise, a 50% deposit of the total booking price is required to confirm a tailor-made, multi-day Egypt tour package.

The required deposit may be different when the booking includes supplier services with special or immediate payment requirements. These may include:

  • domestic or international flights;
  • luxury or non-refundable hotels;
  • Nile cruise cabins;
  • Christmas, New Year, Easter, and other peak-season travel;
  • large or private groups;
  • special events, gala dinners, or exclusive venue access;
  • named entrance tickets, permits, or limited-capacity experiences;
  • train tickets or other prepaid transportation;
  • last-minute bookings; and
  • services for which a supplier requires full advance payment.

Day tours, shore excursions, and services that do not include accommodation or flights may have a lower deposit or may require full payment, depending on the date, group size, permits, and supplier requirements. The exact amount will be stated in the quotation or invoice.

Once the deposit is received, we begin securing the confirmed arrangements. All payments are applied to the booking and are subject to the cancellation conditions in this policy.

3. Final Balance

The remaining balance must be paid by the deadline stated in the quotation, invoice, or booking confirmation.

If no different deadline is stated, the remaining balance is due upon arrival in Egypt and before the commencement of the booked services. Payment upon arrival must be made using the currency and payment method agreed with Delta Tours Egypt.

An earlier final-payment date may apply when required by hotels, cruise companies, airlines, group arrangements, peak-season suppliers, or other service providers. Bookings made close to the travel date may require full payment at the time of confirmation.

If the balance is not paid by the applicable deadline, we may suspend ticketing, withhold documents, release services, or treat the booking as canceled by the traveler. The cancellation charges in this policy will then apply. Delta Tours Egypt is not responsible for price increases or lost availability resulting from late or incomplete payment.

4. Accepted Payment Methods

The available payment methods will be shown in the invoice or payment instructions and may include:

  • a secure online payment link;
  • Visa, Mastercard, American Express, or another supported credit or debit card;
  • bank transfer to an account officially designated by Delta Tours Egypt;
  • cash in US dollars or euros upon arrival, when approved in writing; or
  • another payment method expressly confirmed by Delta Tours Egypt.

Payment options may vary according to the traveler’s location, payment amount, currency, travel date, and payment provider.

For your security, never send a full card number, card security code, online-banking password, or one-time verification code by email, WhatsApp, social media, or an ordinary message. Enter card information only through the secure payment page provided for the booking.

Delta Tours Egypt will never ask a traveler to make payment to an unconfirmed personal account. If you receive unexpected or changed bank details, contact us through the official contact information published on our website and verify the instructions before transferring funds.

5. Currency and Payment Charges

Prices are normally quoted and invoiced in US dollars unless another currency is stated in writing.

The traveler is responsible for bank-transfer charges, intermediary bank fees, foreign-transaction charges, currency-conversion costs, and card-issuer fees unless we agree otherwise in writing. If Delta Tours Egypt or its payment provider applies a card-processing or payment-platform charge, it will be disclosed before the traveler completes the payment.

When payment is made in a currency other than the invoice currency, the amount credited to the booking will be based on the exchange rate applied by the relevant bank, payment provider, or Delta Tours Egypt at the time the payment is processed. The traveler must ensure that the full invoiced amount reaches us after external charges and currency conversion.

A payment is considered received only when cleared funds are available to Delta Tours Egypt. A transfer confirmation or screenshot is not proof that cleared funds have arrived.

6. Payment Verification and Security

The payer must be authorized to use the selected payment method. To protect travelers and prevent fraud, we may request reasonable verification such as:

  • the payer’s name and contact details;
  • identification matching the cardholder or account holder;
  • a signed payment authorization;
  • confirmation of the relationship between the payer and traveler; or
  • proof that a bank transfer was sent from an authorized account.

We may pause or decline a payment when fraud, unauthorized use, sanctions, money laundering, or another security or legal concern is reasonably suspected. Any personal information requested for verification will be handled according to our Privacy Policy and applicable law.

7. Price Protection After Confirmation

Once we receive the required payment and confirm the booking, the agreed price will apply to the services confirmed in writing.

The confirmed price may still change when:

  • the traveler asks to change the dates, itinerary, hotel, cruise, flights, room type, group size, or another service;
  • an optional service or upgrade is added;
  • an airfare or dynamically priced service has not yet been ticketed or secured;
  • the traveler provides incorrect information that requires rebooking or reissuing a service;
  • a government, authority, or supplier introduces a new tax, fee, fuel surcharge, ticket price, or mandatory charge that applies to the booking;
  • the traveler pays an outstanding amount in a different currency and the applicable exchange rate changes; or
  • an unpaid or unconfirmed component is no longer available at the originally quoted rate.

We will explain any necessary adjustment before applying it. If a change is requested by the traveler, no revised service will be confirmed until the new price and any required payment have been accepted.

8. Installments and Partial Payments

Where Delta Tours Egypt agrees to an installment plan, every installment must be paid by its stated deadline. Accepting a partial payment does not change the total amount due, extend another deadline, or waive any cancellation charge unless we expressly confirm the change in writing.

Payments are applied to the overall booking and may be used to secure services with different supplier conditions. A particular installment should not be understood as payment for only one hotel, flight, cruise, or other component unless the invoice expressly identifies it that way.

9. Changes Requested by the Traveler

All requests to change a confirmed booking must be sent in writing by the lead traveler. We will make reasonable efforts to help, but changes remain subject to availability, supplier approval, operational feasibility, and applicable fare or booking rules.

The traveler is responsible for:

  • any increase in the price of the revised services;
  • airline, hotel, cruise, transport, permit, or ticket reissue charges;
  • supplier amendment or cancellation penalties;
  • any non-refundable amount associated with the original booking; and
  • any reasonable administrative charge disclosed before the amendment is made.

If the number of travelers decreases, the total booking price may be recalculated. This can increase the per-person price for the remaining travelers because private transportation, guides, rooms, and other shared costs will be divided among fewer guests.

A major change of dates, destination, or traveler identity may need to be treated as a cancellation and a new booking.

10. Non-Refundable Supplier Costs

Many travel services become fully or partly non-refundable as soon as they are reserved, paid, issued, or placed under contract. These may include:

  • domestic and international flight tickets;
  • selected hotels and Nile cruise cabins;
  • Christmas, New Year, Easter, and other peak-season services;
  • gala dinners and special-event arrangements;
  • train tickets and named admission tickets;
  • special permits and exclusive-access visits;
  • group reservations and private buyouts;
  • last-minute services; and
  • any booking sold under a non-refundable rate.

If a traveler changes or cancels a booking, the amount charged by or contractually due to these suppliers will be deducted from any refund. A supplier’s non-refundable cost may be higher than Delta Tours Egypt’s standard cancellation percentage. Where reasonably available before confirmation, we will identify important non-refundable conditions in the quotation or booking communication.

11. Cancellation by the Traveler

The lead traveler must submit a cancellation in writing through an official Delta Tours Egypt contact channel. The effective cancellation date is the date and time we receive the written notice during our normal business hours in Egypt.

Unless a stricter condition is stated in the quotation, confirmation, or supplier terms, the following charges apply to the canceled portion of the booking:

Written cancellation received before the first service date Cancellation charge
61 days or more 25% of the total booking price
31–60 days 50% of the total booking price
15–30 days 75% of the total booking price
14 days or fewer, or no-show 100% of the total booking price

The cancellation charge will never be less than the non-refundable or higher amount already paid, charged, or contractually required by airlines, hotels, cruise companies, ticketing authorities, payment providers, and other suppliers.

Christmas, New Year, Easter, major events, high-demand travel periods, exclusive arrangements, and certain luxury bookings may be subject to stricter cancellation conditions, including a 100% charge after confirmation. These conditions will be stated in the quotation or confirmation where known.

We strongly recommend purchasing comprehensive travel insurance immediately after booking. The policy should cover cancellation and interruption for the traveler’s personal circumstances.

12. No-Shows and Unused Services

A no-show occurs when a traveler does not arrive, does not join the tour, misses a scheduled service, or fails to meet the guide, representative, driver, flight, cruise, or other transport at the agreed time and place without sufficient notice.

No refund is provided for a no-show or for any accommodation, meal, transfer, tour, guide, entrance ticket, flight, cruise night, activity, or other service that a traveler voluntarily misses or does not use after the trip begins.

If a delay or missed connection affects the arrangements, contact Delta Tours Egypt immediately. We will try to reorganize the services where reasonably possible. Any new flight, additional transfer, guide waiting time, hotel night, ticket, amendment fee, or other resulting cost is payable by the traveler unless it is recoverable from the responsible provider or covered by insurance.

13. Refund Policy

If a refund is due, Delta Tours Egypt will calculate it after deducting:

  • the applicable cancellation charge;
  • non-refundable or partially refundable supplier costs;
  • services already provided or used;
  • amendment, ticketing, or administrative costs properly due;
  • payment-processing costs that cannot be recovered; and
  • any other outstanding amount connected with the booking.

Approved refunds will normally be returned through the original payment method where possible. If that method is unavailable, we may request verified banking information and use another lawful and secure method.

Refund processing depends on airlines, hotels, cruise companies, banks, payment gateways, card networks, and other suppliers. We will submit or process an approved refund within a reasonable period after the refundable amount has been established, but we cannot control how long an external supplier or financial institution takes to return or credit the money.

Currency movements and external fees may cause the amount received in the traveler’s currency to differ from the amount originally paid. Delta Tours Egypt is not responsible for exchange-rate differences or charges imposed by the traveler’s bank, card issuer, payment provider, or intermediary bank.

14. Cancellation or Material Change by Delta Tours Egypt

If we cancel a confirmed booking for a reason within our reasonable control, we will offer, where reasonably available:

  1. an alternative arrangement of comparable value;
  2. a lower-value alternative and a refund of the applicable difference; or
  3. a refund of the amount paid for the affected service that is recoverable or legally refundable.

Minor itinerary, timing, guide, vehicle, hotel, cruise, airline, or sightseeing-order changes may be necessary and do not automatically create a right to cancel without charge when a reasonably comparable service is provided.

If an unavoidable and extraordinary event outside our reasonable control affects the booking—such as severe weather, natural disaster, war, civil unrest, government action, epidemic measures, border closure, airspace restriction, site closure, navigation interruption, or major transportation disruption—we will provide reasonable assistance and try to rearrange the affected services. Refunds and credits will depend on applicable law and the amounts and options made available by the relevant suppliers.

15. Payment Errors, Duplicate Payments, and Overpayments

Please contact us promptly if you believe a payment was duplicated, charged incorrectly, or applied to the wrong booking. We will investigate the transaction and correct any verified error.

A verified overpayment will be refunded or, with the traveler’s agreement, credited toward the remaining balance or another confirmed service. Refund timing and currency may be affected by the original payment method, banking rules, and external processing times.

16. Chargebacks and Payment Disputes

If you believe a payment is incorrect or a confirmed service has not been provided, contact Delta Tours Egypt promptly and allow us a reasonable opportunity to investigate and propose a solution.

Submitting a chargeback for a valid and authorized booking does not itself cancel the reservation or remove an amount properly due. We may provide the payment provider with the booking confirmation, invoice, accepted policy, traveler communications, service records, and other relevant evidence when responding to a payment dispute.

Nothing in this section limits a traveler’s right to challenge a genuinely unauthorized or incorrect transaction.

17. Relationship With Our Terms & Conditions

This page summarizes the financial rules that apply to bookings with Delta Tours Egypt. Our full Terms & Conditions contain additional provisions concerning accommodation, transportation, traveler conduct, visas, health, travel insurance, liability, complaints, privacy, and governing law.

If there is a conflict between documents, the following order will normally apply:

  1. a specific non-refundable or special condition clearly disclosed and accepted for the booking;
  2. the confirmed quotation and invoice;
  3. this Payment & Cancellation Policy; and
  4. the general Terms & Conditions.

Mandatory rights under applicable law continue to apply regardless of this order.
